Position: Office Administrator

Hours: Part-time, 22.5 hours per week

Role Overview 

We are seeking a highly organised, detail-oriented individual to join our team on a part-time basis (22.5 hours per week). You’ll play a key role in keeping our office running smoothly, coordinating between departments, and providing essential administrative, financial, and operational support. Flexibility in working days is available to suit your schedule.

  1. Office Administration

  • Manage day-to-day office operations, including supply inventory and equipment upkeep.
  • Coordinate repairs and services for office equipment and space
  • Ensure the office environment is organised and efficient
  1. Administrative Support & Financial Coordination

  • Handle general admin tasks, including correspondence, meeting scheduling, and preparation
  • Process invoices, perform monthly bookkeeping and reconciliation, and follow up with debtors
  • Use Xero for financial tracking, reporting, and profit & loss analysis
  • Generate and manage print quotes for internal and client projects
  • Assist with ad hoc PA tasks and cross-departmental coordination
  • Support management with reporting and analysis
  • Assist in creating and formatting new business proposals, supporting the agency’s growth efforts
  • Manage external communications, both phone and email.
  • Facilitate any internal communications if necessary.

Desired Experience

  • 2 years in office administration, office management, or operational support
  • Experience using Xero or similar accounting platforms
  • Solid understanding of basic accounting and reporting principles
  • Previous experience contributing to business proposals or pitch documents is a plus
  • Background in a fast-paced, creative or agency environment is advantageous

Skills & Attributes

  • Excellent communication skills (verbal and written)
  • Strong organisational abilities with the capacity to manage multiple priorities
  • Proficiency in Google Workspace (Docs, Sheets, Drive)
  • Comfortable using tools such as Xero, Asana, and Toogl. 
  • High attention to detail and a proactive, solution-oriented mindset
  • Confident working independently and as part of a close-knit team
